Optical Character Recognition (OCR) is the software CR-Certify uses to automatically parse information from uploaded Certificates of Insurance. When a document marked as Certificate of Insurance is uploaded, OCR scans the document and compares the details to the assigned requirements.
On the documents tab, the "OCR PROCESSED" field will show whether or not OCR successfully processed a document. If the document has the "Certificate of Insurance" type, it will be flagged with one of the following options:
- Not Processed: When a document has just been uploaded, it will be flagged as Not Processed. This indicates that OCR has not had sufficient time to process the document
- Partially Processed: If OCR is only able to read part of a document, it will be flagged as Partially Processed. This may mean that OCR needs more time to read the rest of the document, or that OCR is unable to read part of a document due to formatting or quality issues
- Processed: Once OCR has successfully read an entire document, it will be flagged as Processed
- Failed: If OCR is unable to read a document, it will be flagged as Failed. This could be because a document was incorrectly labeled as a certificate of insurance, or because the upload was too low quality for OCR to process
OCR will update the compliance tab after it's processed a certificate of insurance. When this happens, the individual listed under "Compliance Last Updated" will be CertBoto, the name of our OCR processing software.
While OCR is a powerful tool, it is not able to process everything.
OCR only processes certificates of insurance. This means in order to have a document processed by OCR, the "Certificate of Insurance" document type needs to be selected, and a valid ACORD 25 must be on the first page of the document. The OCR process will not be triggered if the document type for the uploaded file is set to anything else, such as "General", "Blanket Endorsement", "Certificate and Endorsement", etc.
OCR can process the General Liability, Automobile Liability, Excess/Umbrella Liability, and the Workers Compensation and Employers' Liability. This includes the policy detail checkmarks, the additional insured and subrogation waiver checkmarks, the effective and expiration dates, and the policy limits.
Due to the high level of variance for the way any other polices (such as Professional or Pollution Liability) are displayed on a certificate, OCR will not process these fields. It also cannot process the Description of Operations text or the Certificate Holder.
While it cannot process the Description of Operations for compliance, it does scan and display the text from that area within that section on the compliance tab, so that a Staff User can quickly and efficiently review the text for compliance.
OCR is not 100% accurate. An uploaded document may be low quality or have uncommon formatting, which can affect OCR's ability to process it. For this reason, automatic emails are paused after OCR processes a certificate, so that a Staff User can double check OCR's output
