The Reference Library is an Instance-specific document repository visible to all Staff users and above. It is intended to be used as a place to save all reference and tutorial files relevant to that specific Instance in one, easy to find location accessible to all account administrators.
The Reference Library is home to two document types: Reference and Template
- Reference Documents are intended to be informational documents that depict a specific workflow, procedure, or company policy that applies to all or most staff users within an Instance. These should be files that explain how something should be accomplished.
- Examples: sample approved endorsements, the feedback flowchart, escalation protocols, software feature tutorials, etc.
- Template Documents are intended to be documents that contain information that should be used elsewhere or are files intended to be downloaded, altered in specific, defined ways, and shared as a final product. These should be files that are used/with content that should be used in a repetitive manner.
- Examples: kick-off call presentation templates, procedure manual templates, deficiency communication wordbank, sample email templates, etc.
The details field for both document types should be used to explain what the file is and for what it is intended to be used. Clearly labelling files saves time in the future for users who will need to use or access these files.
If a document is no longer relevant or a newer version exists, you can archive the previous file to retain the historical record within the Library. Ideally, files should only be deleted if they were uploaded in error or if there is no reason to maintan a previous version for any reason. If you are unsure if a file should be deleted or archived, you can check with your Team Lead.
